Almost every member who joins the committee does not have a lot of experience in organizing parties at first. However, at the end of your FeestCie career, you will know all the ins and outs of organizing great parties! In order for new members to have an idea of what being a member of FeestCie entails, we have written down some information for you.
The FeestCie usually organizes 4 to 5 parties every year for STORM, but there is always room for more! We have 2 annual parties that have to be held: the introduction party and the end of the academic year party.
- The introduction party
This party is the first of the academic year. It always happens during or after the Introduction Week, either in September or during the first week of October. Tradition wants this party to be organized exclusively by our association for our members, to ensure that new members get a good introduction to STORM. This party needs to be organized on time, so a tip would be to start before the summer break. Unlike other parties, this one is prepared in collaboration with the IntroduxCie. This committee determines the theme and helps with the decorations. They also provide tickets for the party to the students that bought a passe-partout, which allows paying only half of the ticket price.
- The end party
This party's aim is to close off the year with a blast. It is often organized at the end of June in collaboration with other associations of the beta faculty. Because it is a big event, it is best to start the preparations in January already.
- Other parties
In between these parties, it is desired to have at least 3 other parties. Make sure to organize parties with other associations as well. This is important for the turn-up as well as the bonding between study associations. However, these cooperation parties usually need more time to prepare, so ensure that you start on time! Also, always check the STORM agenda to avoid any overlapping between the parties and any other activity. In 2019-2020 we started combining STORM borrels with STORM parties as a "pre-party". This resulted in a bigger turn-up for both events. During such events, tickets for the party are sold at the borrel, and when the borrel is over the party begins!
Before you start organizing a party, you need to think about what kind of party you want it to be. All the following topics need to be discussed: Financials, Location, Task division, Theme, Music/DJs, and Promotion/Decorations.
First of all, it is convenient to think about the size of the party. Parties can have between 70 and 200 STORM members attending depending on the time of the year. For the introduction party, this number should be higher. It is also optional to sell tickets directly at the entrance. Standard pricing is €5,- for members and €7.50,- for non-members (usually add €1,- for non-members). This price may differ according to the cost of the venue.
Most bars and clubs have a renting cost for their venue. This can either be a great amount or they can have a bar guarantee, which means you have to pay extra if not enough money was spent by attending members. Also, other costs like cleaning, the use of toilets and of a security service have to be discussed. Another important point is the party time (when does a party start and end). Usually, it is between 22:00 and 03:00. Also, ask if you can be there an hour early to decorate. Discuss the price for the drinks as well, maybe they can give a student discount or something. Make sure all of these points are mentioned in the contract! The latter needs to be signed by a board member.
Divide all the tasks among the committee members before the party. You can do this via meetings, calls, emails, texts, etc. Make sure to have the all tasks in this list below taken care of.
Don't forget to make a door duty schedule, during which you check tickets at the entrance and maybe even an ID age check. Also, be sure of who is doing the decorations, which association, or which members from the FeestCie. Print a list with the names of the ticket buyers. If tickets are sold at the door, make a Tikkie QR code!
What kind of music do you want at a party? Music is a very important part of a party. Venues can have their own DJ, but we prefer to have our own. STORM has several members who are interested in being a DJ, which is why we hire them instead. More than one DJ can perform during one night. Usually, we have around 3 DJs who work 1.5 hours each.

Very important!!! A party needs to be promoted very well and at least 2 weeks in advance. Use posters and social media. Make sure it is mentioned in the STORM monthly newsletter mail. We have a PromoCie, ask them for help.
Posters are to be made by PromoCie. If the party is a bit bigger than usual, you can also use flyers. Make sure that on the promotion items all the following information is provided: time, location, date, and maybe even price of drinks or line-up.
STORM has a website with a "planned activities" calendar. Make sure the party is on there as well! STORM also has a Facebook group, an Instagram account, a discord page, and a canvas page. Use them to advertise the event!
Once a month a mailing list is sent by STORM to all members including all the planned activities. Make sure the party is on there as well!
It is not unknown that other study associations are sometimes less capable in the organization of an event. STORM organizes most of the cooperated parties, so ensure that it is clear who does what and that the costs are divided. We are one of the few associations that is able to provide alone the necessary money. However, make sure to get money from the other partner associations first, before paying for the venue. To guarantee that, always make a contract with the associations. There are examples in the FeestCie Drive.
