# Viva Glint 360 cycle content export and import

After setting up a Microsoft Viva Glint 360 cycle and making all customizations in English, use Export and Import Cycle Content options to apply all updates to translations.

> [!NOTE]
> Standard 360 content includes translations for selected languages.
## Export and edit content from the 360 cycle page

To export 360 content files from the cycle page and edit content to prepare for import:

> [!NOTE]
> New 360 content can't be added to your cycle with the export/import process. This feature only updates translations for content that already exists in your 360 cycle.
1. Select **Actions** and choose **Export Cycle Content**.
1. In the dialog that appears, choose the **Content Details to Include** and select **Languages** to export.
1. Select XLSX or CSV in the **Select Content Type** dropdown menu.

1. Folders (compressed with .zip extension) that contain files for each language download for each type of selected content
1. Double-click each .zip folder to open and view all language files for each content type.
2. Open and edit files in each language where customizations need to be added.

> To retain special characters and formatting, always open CSV files by [importing data from csv](https://support.microsoft.com/en-us/office/import-data-from-a-csv-html-or-text-file-b62efe49-4d5b-4429-b788-e1211b5e90f6) in Microsoft Excel.
1. Modify content in columns that contain "translated" in the column label.

> Don’t edit exported **file names** or **header names** in the files to ensure that files import successfully.
## Import edited content to the 360 cycle page

1. After editing and saving exported content files in each language, select **Actions** and choose **Import Cycle Content**.
2. Select a **Content Type** from the dropdown menu.

4. Drag and drop or browse to choose:
1. A single XLSX or CSV file in one language.
2. A .zip folder of multiple XLSX or CSV files in more than one language.

5. Select **Next** and then choose **Make changes**.
6. Refresh the cycle page to track the upload's progress or wait for a confirmation email.

# Viva Glint 360 frequently asked questions

These frequently asked questions (FAQs) address common questions that Microsoft Viva Glint 360 subjects, admins, and coaches have when interacting with 360 cycles.

## Subjects

### Can I start my feedback and complete it later?
Yes, Viva Glint feedback surveys automatically save your answers. Select the link from the original invitation to review your feedback email or access it from the "Feedback" tab within Viva Glint to complete it anytime before the end date.

### How can I log in to Viva Glint to see my feedback information?
Access Viva Glint with these links, depending on your organization's region:

- US: [http://app.us1.glint.cloud.microsoft](http://app.us1.glint.cloud.microsoft)
- EU: [http://app.eu1.glint.cloud.microsoft](http://app.eu1.glint.cloud.microsoft)

### How can managers see the results for their direct reports?
If a manager has access to results for a direct report, they receive an email with a link to the report. Managers can also access reports through the dashboard:

- From the dashboard, use the search icon to search for a direct report. In the direct report's card, select the Feedback tab.
- From the dashboard, go to Focus Areas and choose My Directs and then a direct report. In the direct report's card, select the Feedback tab.

### How can I tell how many feedback providers responded?
During a live 360 cycle, log into Viva Glint, select Feedback and then the 360 feedback card in My Feedback - In Progress.Select Step 1 to see a list of invited feedback providers and responders. In addition, Viva Glint sends an email before the 360 cycle ends, which includes a list of feedback providers who didn't respond. After the 360 cycle is complete and you receive access to your 360 report, go to the Insights tab. Select Response Rate to see a list of feedback providers who responded.

### How do I reach out for support?

### How to I give product feedback?
Viva Glint welcomes feedback. Submit your comments in the platform: [Submit product feedback](glint-product-feedback.md).

### Can managers, HR Business Partners (HRBPs), and employees set up 360s?
No. To better maintain governance over 360 programs, only admins have this level of access, but an employee can select their own feedback providers. HRBPs who are 360 admins can select feedback providers on leaders’ behalf.

### Can we see aggregate 360 scores over time and filter aggregate reports in Glint?
No, Viva Glint doesn’t currently show aggregate 360 scores in the platform, but this report feature is on our longer-term roadmap. After the 360 cycle closes, you can export all rating and comments data into a CSV file to do aggregate analysis offline.

### Is the Secure File Transfer Protocol (SFTP) / HRIS data automation the same as for other Viva Glint surveys?
Yes. [Learn more](sftp-data-automation.md).

### Can we aggregate manager reports so a leader can see all their directs and their skip-level directs’ reports?
No, 360 subject reports aren’t aggregated, and reports aren’t automatically provided to managers or skip-level managers. The 360 admin can release a 360 report to a manager, and a skip-level manager can be selected as a coach. But the subject's hierarchy isn’t automatically granted access.

### Can we autopopulate HRBP as internal coaches?
Not currently, but admins have the ability to upload subjects and coaches and extend due dates in bulk.

### Can we change the internal coach label to HRBP?
No, the subject, manager, and coach labels can’t be changed. But, those labels are only visible to the admin. 360 emails and the 360 overview page, seen by the subject, can be edited to refer to coaches as HRBPs.

### Can HRBPs have automatic access to view all 360 reports for anyone in the org they support?
Yes, if HRBPs have admin access.

### Can we separate admin access to engagement data?
Yes, you separate 360s admin from engagement admins with User Roles and permissions.

### Can I delete a 360 program?
Yes, you can delete a 360 program only if all the 360 cycles within it are in "draft" status.

### Can I delete a 360 cycle?
Yes, you can delete a 360 cycle in "draft" or "scheduled" status. A 360 cycle can’t be deleted in "live" or "completed" status.

## Coaches

### Is there a way to compile feedback provider information to look at feedback provider tendencies (leniency, stringency)?

Yes, on the All Responses tab of the 360 report, choose whether you want to see scores for all scaled items mapped to a competency. You can select across one, multiple, or all feedback provider categories to find trends. You can see the feedback provider group tendency (not individual tendency) by viewing the All Responses in the 360 report. Scores are shown for all scaled items mapped to a competency across one, multiple, or all categories to identify trends. You can view the range of scores provided for each competency or item by feedback provider group in many sections of the report.

# Viva Glint 360 live cycle management

Microsoft Viva Glint 360 admins have enhanced access to dashboards and settings during live 360 cycles. During live cycles, admins can track responses and edit items related to feedback providers, survey questions, competencies, schedule, and communications.

## 360 admin dashboard

During a live 360 cycle, the admin dashboard shows:

- The number of subjects that haven't invited feedback providers
- The average number of feedback providers for each subject
- The number of subjects who need to complete their self-assessment
- The number and percentage of subjects who aren't eligible for a 360 report yet
- A list of live subjects
- A list of completed subjects
- A list of opted out subjects

### Filter to a live subject

When an admin filters to a subject with a live 360 cycle, they see:

- How many feedback providers are invited
- If a self-assessment is complete
- How many feedback providers meet the confidentiality threshold
- The cycle end date

## 360 setup areas that can be edited during a live cycle

During a live cycle, 360 admins can view and edit feedback providers and edit some 360 setup areas including:

## View notification history

Notification history is available **only after** a cycle is live but isn’t configurable. To view notification history:

1. In **Cycle Settings**, select **Schedule & Communication**.
2. Select **Notification History**.

## Available actions after a self-assessment is complete

After a subject completes their self-assessment, a 360 admin can:

- View if a subject completed a self-assessment
- View if the 360 report is released to the subject, manager, or coach
- View the end date of the cycle
- Edit or add a coach
- Reopen and extend the end date for a subject. Use this option when a subject doesn't have enough feedback to meet thresholds to view a report.
- If a report is generated for a subject, the admin can:
- Download the report
- View the online report
- Release the report and add recipients other than the subject, manager, and coach
- Release reports in bulk based on different criteria
- Export a CSV file of all completed subjects and their coaches
- Export a CSV file of all subjects' self-assessments and feedback provider responses
- Export a CSV file of all 360 report data for subjects who are eligible for a report

## Available actions for opted out subjects

For opted out subjects, the admin can:

- See the opt-out date
- Reopen and extend the 360 due date
- Delete the subject from the cycle

# Test and launch a Viva Glint 360 feedback cycle

Check every detail of a Microsoft Viva Glint 360 feedback cycle before selecting **Schedule Cycle.** Some 360 elements can't be edited once a 360 program is live, including:

- The internal cycle name. The external cycle display name can be changed.
- Question removals, additions, or edits.
- Subject additions after the Feedback Provider Selection End Date.

## Preview a 360 cycle

When each section of a 360 cycle is set up successfully, a blue check mark appears on sections to indicate that an admin can schedule the cycle.

All sections of a 360 cycle must be set up, reviewed, and saved and at least one (1) subject must be added before the cycle can be scheduled.

To view 360 cycle reviews, from the cycle page, select **Actions** and then **Preview Survey** from the dropdown menu.

When previewing a survey, confirm that:

- Intro and instruction text appear as expected
- Rating scales are as expected (1-5 or 1-7)
- Rating scale labels appear as expected
- Comments are available for rated items
- Rated items are marked as optional (recommended)
- Open-ended items display as expected
- Reporting guidance is available, if enabled
- Feedback provider category displays names
- Competencies are mapped

## Preview the 360 report

From the 360 cycle page:

1. Select **Actions** and then **Preview Online Report**.
2. Switch from the **Insights**, **Comments**, and **All Responses** tabs to view different areas of the report.

## Schedule a 360 feedback cycle

After checking your 360 cycle's configuration, survey previews, and online report preview for accuracy, **schedule** your 360 cycle to make it available to participants.

To schedule from the 360 cycle page, select **Schedule Cycle** in the top right and select **Schedule Cycle** again in the dialog that appears:
