We've got a bunch of evening events listed:

  • GinJS
  • WhiskyJS
  • BeerJS
  • SushiJS
  • DanceJS
  • BBQJS

These will essentially replace the "parties" you would see at most conferences. Ideally, we could book out a space like an empty warehouse and set it up for us to self cater and run our own music and such. That might be difficult to book, or prohibitively expensive.

Alternatively, we can just rent out a couple bars and have people buy their own drinks.

We need to contact bars in the area and see what it costs to rent them out and if we can be there with a simple drink minimum. Here's a list, let's break it down:

  • Hutch @mikeal
  • Lost & Found - emailed
  • Plum Bar
  • Dogwood - too small (getting more info)
  • Duende - emailed
  • Bar Three Fifty-Five - voicemail
  • Cafe Van Kleef - too small - max capacity 49
  • Make Westing - voicemail

Also, one of the evenings is OaklandJS, I'll pay to reserve the back space so that it can accommodate an unusually large crowd.

We have a few options that I feel would work nicely for your party. If you would like I can set up a time for you to come by and look at the space as well as try some of our expanded food and drink menus.

We have some base minimums but it really depends on what you are looking to do. Our generic minimums for Mon-Thurs on both spaces combined would be 7k and Fri + Sat would be 9k.

Some questions from Awaken Cafe about BeerJS:

What dates are you thinking?
What is the timing?

Depending on day of the week and amount of time, they charge a guarantee to rent out the space. If the attendees plus organizers meet the guarantee in purchases, you don’t own anything additional. If you don’t meet the guarantee, we charge a credit card on file the difference.

@mikeal, how do you feel about booking 25C for the 13th? It worked really well for Dance.js, and I think could accommodate quite a few more people.

I've reached out to Christina, and the space is available -- would we like to inquire about using the space for more than just the 13th?

@agminusthev I visited Somar yesterday. We might be able to do GinJS there if we can get them to stock up on boutique gins. It might also be fun to create some signature cocktails and a custom menu if they'll let us. Would you like to reach out to the venue and see if that is possible?

@mikeal Somar is available on Monday, December 8 and Saturday, December 13 from 6-10pm to host an event. They have a max capacity of 100 people.

They're open to doing some custom cocktails with drink menus with a $1,500 bar minimum.

We can:
Pay the $1,500 up front
Have an open tab
Drink tickets valued at $6/ea.
Have everyone pay for their own drinks and then pay the difference if the final tab comes under $1,500

Food:
Bring our own
Catering can be provided

@agminusthev would you like to take point on BeerJS and OaklandJS? We should book the largest space we can at Lost & Found. We need Wednesday and then either Tuesday or Thursday (we can move BeerJS to which ever works.

We've signed the rental contract for the 25C space on Dec 13th.

Hey everybody,

First off, I'd like to introduce you to @MegChristian. She's an awesome event planner, she even helped me with my very first event and is the person that found Walker Creek Ranch way back in the day :)

She's going to help out here in the final stretch.

So, it sounds like we need venues for evening events on:

  • 12/9
  • 12/10 (If we can't get Lost & Found for OaklandJS)
  • 12/11
  • 12/12

@agminusthev did you hear back from Lost & Found yet on doing OaklandJS & BeerJS that week.

The other nights we need events for

  • NodeUp Live! (somewhere that we can do a live podcast on stage)
  • WhiskyJS
  • BeerJS (if Lost & Found doesn't work out)

We also need:

  • custom cocktail list for GinJS (we need to name them hilarious JavaScript names and also print out the drink lists for the event)
  • Whisky Tasting menu for WhiskyJS after we book it

And that's all I can think of at the moment.

Thanks for the nice intro Mikeal and hello to everyone else. I'm thrilled to be helping out and I look forward to working with each of you! So, if you have venues you want me to follow up with, research new locations or take on whatever else needs my attention, I'm ready!

Few questions:

1.) How many attendees will be joining each event?
2.) What is the per person cost?
3.) Will we have transportation available? Or will it be on the attendee to get from place to place?
4.) When reserving evening event locations are we looking for a private or semi-private spaces?
5.) Does the evening event space need to have Wi-Fi ?

Mikeal and I are going to chat tonight, so he can bring me up to speed on the current plans. But for now, please let me know what else needs further coordination and I'll get started.

We'll have about 200 total for the event, around 125 per daytime event. Evening events probably a little less than that.

2.) What is the per person cost?

$220 for the whole week.

3.) Will we have transportation available? Or will it be on the attendee to get from place to place?

It's all on the attendees but most events will be in the general walking distance of Uptown Oakland around the New Parkway.

4.) When reserving evening event locations are we looking for a private or semi-private spaces?

Private is best, semi-private if we have to.

5.) Does the evening event space need to have Wi-Fi ?

Nope.

@mikeal Christi from Lost & Found is going to get back to me with event details. We had talked about doing 12/10 for OaklandJS and then either 12/9 or 12/11 for BeerJS. The dates work but we still need to see the cost for an evening event.

As far as SomaR w/ funny JS names, that would probably require someone with a JS background and level of creativity and humor to coordinate with the bartender. Is there anyone you'd like to volunteer for that?

Hi all,
I've been doing some research over the weekend and came across Woods Bar & Brewery and this might be an awesome spot for JS beer night. http://www.yelp.com/biz/woods-bar-and-brewery-oakland-3

I know there's talk about Lost & Found but Woods Bar & Brewery is pub house/ brewery and they can offer us the following:
*house flight per person + 2 house beers available on tap
*in-depth tour with our owner/brewer Jim Woods
*private space w/1 dedicated staff
*60 guests
$2000 plus gratuity
*food not included but available to add on or guests can pay as they go

  • "I know you mentioned the 11th works best for your event but that the 12th is your next choice. The moment I hear back from a group that contacted us previously I will solidify that with you. Hope this works for you! We'd love to have you and the tech crew. Let me know your thoughts."

Dec. 9th - Gin Night
I reached out to Era bar - http://www.oaklandera.com/era/ and I think this would be an ideal spot for Gin Night. They have Dec. 9th available and they can accommodate 70 in the mezzanine area. Below are the listed bar fees.
*Mezzanine: minimum bar sales: $500/hr (3 hour minimum) + $500 private rental fee

At this point, I'm still working on a venue for the whisky night but thought I'd update you with what I have so far. So, let me know if you want me to confirm these venues or keep looking? Also, keep in mind venues are starting to book up with December holiday parties....

@MegChristian We've got things sorted for GinJS with SomaR Bar for 12/8. Contracts signed and @mikeal has sent them a check.

BeerJS and OaklandJS are still up in the air so I think your options look great. I did get contracts for Lost & Found but needed to go back and forth with them on the details. The event would not be private but we could have an area dedicated to our group.

Lost & Found has a minimum food spend requirement along with alcohol.

Quote for BeerJS on Tuesday, Dec. 9 w/ minimums:
$1,530 for food
$800 for beverages (min.)
$419 for service fee (based on $800 beverage)
$247 for estimated sales tax

Discount $153 for planning to host 2 events at their venue

$2,844

Quote for OaklandJS on Wednesday, Dec. 10 w/ minimums:
$1,517 for food
$800 for beverages (min.)
$417 for service fee (based on $800 beverage)
$246 for estimated sales tax

Discount $152 for planning to host 2 events at their venue

$2,828

We might want to consider Lost & Found for OaklandJS but Woods Bar looks like a solid option for BeerJS.

Oh perfect! I didn't know Gin night was handled - so that's fabulous!

I think Woods Bar would an ideal fit for BeerJS , as it's a full working brewery and everything is focused around BEER! Do you think attendee would be interested in a brew tour + flight different of different beers + 2 pints of beer? If so, then this would be a perfect fit.

I definitely think we should lock down Lost & Found for OaklandJS, plus their prices seem reasonable. So, do we still need to finalize a location for whisky night? Or is that handled?

@MegChristian I have a hard time imagining attendees complaining about a brew tour + flights of different beer + 2 pints of beer.

I've contacted Lost & Found asking for a revised contract for just OaklandJS on 12/10. I hope to have that in my hands by Wednesday and then cut a check for that by the end of the week.

WhiskyJS status is a mystery to me. I suspect we still need to pin down a date and location since there hasn't been any chatter about it here.

@agminusthev @mikeal - Woods Bar & Brewery can accomodate us on 12/11. I'm going to move forward and confirm with the venue today! Also, just a heads up I'm heading out of the country this afternoon and will return on Nov. 29th. So, I'll be slow to respond but will be checking in periodically.

Okay, looks like we're set with venues minus whisky night (Dec. 12th)... I just emailed Era Art Bar http://www.oaklandera.com/era/ to see if they have Dec. 12th available. However, my only concern is that holiday parties are in full swing and we may run into issues finding open venues.

Does anyone have a idea or venue location in mind for this whisky night?

If we don't find a venue we can cancel WhiskyJS.

still want? It might be nice to have a proper "closing" party vs. not
hosting anything...?! If I can find a place for Friday, Dec. 12th, do we
have a higher budget for this night?
