Review of Past Month (by team)

  • Content team
  • Design team
  • Development team
  • Product Team
  • UXR team

What's Next Month / What we need from each other / Dependencies (by team)

  • Create Team Charter #1404 nearly finished and ready to be added to Wiki. Let's: 1) review blurbs from all teams 2) sign 3) add to Wiki and as part of onboarding

Workflow Discussion

  • How does your team handle tickets? Where do they come from and where do they go?
  • UXR > Design > Content > Dev ?
  • What labels are used?
  • How are tickets prioritized and assigned?

Items to Review

  • design Contact Form #1210 in icebox with no dependency label

  • From Bonnie: The following issues are in the repo and are assigned to people who are marked as inactive on the team roster
Onboard & Offboard: UX Content Writer #819 (assigned to Emma Thrash), its in the start here column - it looks like Emma was unassigned - is this one ok to have no one assigned?
Update Team Wiki / Product Manager Wiki Pages #502 (assigned to Jamie Siu) its in the done column, so perhaps it just needs to be closed. - can this be closed?

  • From Bonnie: Updates on Team roster
I went through the team roster and cleaned up the read and write teams and updated columns M-Q. There were quite a few people who were not on the read team.
When people are onboarded they get added to the read and write teams on GitHub. When they leave the team, we remove them from the write team.
Please go to the Roster's Active Tab filter and see who on your team needs to fill in the red parts

  • GitHub roster is out of date.
It has the roles: 1) everyone, 2) maintainer, 3) member.
Is member = active, maintainer = PMs and Leads, and everyone = inactive?

FYI:

Project sync with Org/Bonnie 11/1

Notes from meeting

  • Product Updates
    • Recent new PMs: Rachel (Research), Rick (Dev), Sarina (possibly Content, TBD)
    • Working on Milestones + Product Vision, getting more insight from Bonnie on next steps
    • Meeting schedule shift, start of process updates
  • Content Updates
    • Recruitment: Sarina likely joining as PM, new content writer onboarding soon, hoping to add one more writer
    • Roadmapping with Design for collaborative issues
    • Thinking about Bonnie's list and what needs to be updated
  • Design Updates:
    • Working on About Us page
    • Exploring options with color updates
    • Recruiting: starting to look for new PM, adding new designer
  • Dev Updates:
    • Working on test cases, not merged yet
    • Working with PM on process/workflow
  • Research Updates:
    • Illustration research completed and handed off
    • Capacity: Balancing design and legal research
    • Prop 36: waiting for election results for updates
  • Charter
    • Updates to language on responsibilities
    • Goal: get all teams to sign, will review again in 6 months, but can beforehand if needed / bandwidth allows
  • Workflow
    • Ask from Rick to hear about what workflow is now, plan is to come back next month with a proposal for any updates, make process smoother
    • Research
      • deliberate about using GitHub as central place of communication
      • Bonnie mentioned our tickets aren't written well/clearly; Sydney has been working templates for issues; being more intentional about issues and how we write them (make ask very clear and break into smallest pieces possible)
      • goal: breaking vision down into manageable chunks
      • current handoff process: communication with other team leads
    • How issues are being handed off now: template from Sydney, often separate tickets made for each team that needs to work on parts of a feature/issue
    • Rick will work on some suggestions for formalizing workflow
    • Issues with collaboration and not having a roadmap for each of the teams / product as a whole

Task items from the meeting

  • Get teams to sign charter by next Friday 11/08
  • @mariaweissman to look into PM onboarding issue

Agenda for All-Team

FYI

Notes from meeting

-Team member introductions
-Team updates

Discussion Items

Re size of tickets and numbers of items
-Sylvia - understanding is that tickets are multipart, so you can see how the issue has progressed over time. It could be more complicated potentially to break things down (you would have to search for the other tickets), earlier iterations, can link issues in the resources section.

Rachel
-commenting is really important, and put a link to associated issues, and add to the ticket itself

Sylvia
-for PMs if that could be communicated to everybody
-is there a design PM? They are actively recruiting

Re milestones

Sylvia
-how will we know which Milestone to put an issue?

Rick
-Bonnie's milestones are categories, if it is pertinent towards getting Bonnie's list done, then let's figure out if it should go into the Bonnie milestone
-comes down to how important the issue is to have done
-they are pretty self describing

Maria
-If unsure, can use Other 2.0
-Stakeholder 2.0, some could be moved here, ideally we want that to be Bonnie's list

PMs are working with Bonnie to figure out whether new milestones need to be disaggregated. Working to hammer out some kinks in the system.

If people are adding these issues, which milestones is a question - just add the best one you can.

Presentation - Sam

-presentation regarding language for the term "declaration"
-Working to implement the follow up from research in the spring
-Accessibility and plain language - regarding the term declaration
-Would like to present the issue we're facing, and get some feedback
-Discuss future request for research

Link to Slide Deck

Discussion
-Research will discuss request at their next meeting and respond back.

Task items from the meeting

-Sam will present a content stand up, agenda for next week. Re #1366
-Deferred to next week, cadence on bot notifications for issues.

Notes from meeting

  • New for today is an AI note taker. There should be an email with a summary and a video from the meeting after the meeting. Unsure if it is sent out to just those attending the meeting, or if it's for all on the invite. Should be deleted after around 6 months from the system?

  • Everyone gives updates from what they are working on.

  • Recruiting a new branding person

  • Dev will only ask for tasks related to Bonnie's list and Stakeholder 2.0 milestone going forward until it is done

  • Bot notifications: monthly. For Dev

  • Sam will do a Loom to talk about the Iterative Design process for new members and for non designers/content folks as a handover and a resource. Will also ask UXR specific Q's in the EA channel for the About page.
